POSITION SUMMARY

Scope:
As one of the world’s premier oil sands projects, we are currently seeking an Administrative Assistant to work in the Maintenance area of the Utilities and Offsites business unit. This position offers the opportunity to join a mega project before start up. As a shareholder of the company, you will have the opportunity to directly impact your success and the success of this project.

Reporting to the Maintenance Superintendent, the Administrative Assistant provides administrative and clerical support to the Maintenance Superintendent and the team. This position is attractive to administrative professionals seeking a hands-on role in a busy environment. Skills and experience obtained through this role offer opportunities to advance into other areas of interest.

Key Areas of Contribution:
• Provide clerical support to the Maintenance Superintendent and all team members;
• Assist the Administrative Assistant for the Operations Manager with the overall department activities to maintain smooth operation of the department as needed;
• Act as the point of contact for the Maintenance Superintendent;

Specific Accountabilities:
• Maintain operations library and provide support to the training department;
• Maintain & organize calendar and schedule, and organize task lists for Maintenance Superintendent;
• Coordinate internal/external meetings and arrange for video conferencing;
• Generate and distribute agendas, meeting minutes, and reports (organizational charts, budget);
• Maintain Training Records for Operations employees;
• Coordinate travel arrangements for team members;
• Formatting & editing of all standards, procedures and proposals, including revisions from clients;
• Set up and maintain files/original standard and procedure documents;
• Create PowerPoint/Visio presentations when requested;
• Prepare routine documentation and any other administrative/project correspondence as requested;
• Log a continuous listing of all ongoing contracts for invoice tracking purposes;
• Maintain office preparation for new employees/contractors/temporary employees including requests for PC hardware and directory access;
• Track vacation time;
• Input exception time keeping for all employees;
• Ordering of operations supplies & creating of requisitions;

Qualifications
Education and Experience:
• Three to five years experience as an administrative professional or a combination of applicable education/training and experience preferable in the oil and gas industry.
• Efficiency in multi-tasking while ensuring quality written and verbal communication skills
• Proficiency with computer applications and Microsoft Office (e.g. Excel, PowerPoint, Outlook and Word
• Accurate and quick in word processing and data entry
• Ability to organize self and others to maximize time and produce results

• Respect for confidentiality at all times
• Able to be efficient as well as accurate in required tasks
• Comfortable and effective working with large groups and teams

This position is located on our Horizon Site 70 kim north of Fort McMurray.
