POSITION SUMMARY

Reporting to the HR Recruitment Coordinator the Human Resources Administration Assistant is responsible for managing the administration of the recruiting process for a team of Human Resources Recruiters working with the Horizon Oil Sands administration of the recruiting process for a team of Human Resources Recruiters working with the Horizon Oil Sands Project.

Specific accountabilities as instructed by the H.R. Recruitment Coordinator for this position include but are not limited to:

· Ensure timely input and ongoing maintenance of accurate and up-to-date applicant and job opportunity data in the Applicant Tracking System (ATS)

· Setting up interviews; including generating and distribution meeting agendas, applicant resumes, liaising with candidates, facilitating travel arrangements through corporate travel and preparation of necessary candidate expense reimbursement forms,

· Liaise with other HR Resources Assistants and Coordinator to ensure recruitment process flows smoothly,

· Prepare routine documentation and correspondence (i.e. offer letters, memos, correspondence, notices etc.),

· Distribution of information/data/documentation to the Canadian Natural Staff as required/needed

· Print, organize and distribute FAXED or MAILED RESUMES to Recruiters to ensure qualified candidates are reviewed and considered for the job opportunities they have applied to and/or qualified for

· On an ad-hoc basis or permanent assignment, other clerical administrative or other research project work as directed

· Additional duties and responsibilities as assigned from time to time

Additional Team Functions: - assigned on a permanent or on an as needed basis

Departmental Coverage: - performed or delegated

· Assist recruiter(s) in the recruitment process as directed by the Manager

· Reference checking of candidates as directed

· Field general inquiries as needed (candidate/applicants, recruitment, hiring managers) or forward to appropriate Canadian Natural Staff member where applicable

· Preparation of letters of employment and forwarding of the complete offer package to the candidate,

· Entry of requisitions in the system for all approved Human Resource Recruitment invoices and permanent fees, Horizon agency hires,

This position is one of two Human Resource Administration Assistant roles with the Horizon HR team. As such, it is integral to the success of the full HR team that the incumbent of this role contribute to a positive, collaborative, and supportive relationship with the employee in the identical role.

Your list of accomplishments include:

Formal office administrative training coupled with a minimum of three to five years of experience in an oil sands or oil & gas company.

High School diploma is essential.

Previous experience in recruitment or general human resources administration would be considered a substantial advantage.

Extensive knowledge of MS office products especially MS Word, Excel, Visio and Outlook is required. Familiarity with online recruiting systems is an asset.

The ability to be a positive team player and meet tight deadlines in a highly dynamic environment.

The successful candidate must be pro-active, self managed, and possess a good sense of humor.
