Description of AccountabilityReporting to the Site Manager of Utilities on the Voyageur Upgrader Project, the Administrative Assistant will provide effective administrative support to the overall Utilities Construction Team. The successful applicant will respond to requests and inquiries from internal and external sources and develop and maintain excellent relations with Suncor and external personnel at all levels. The successful applicant will perform a wide variety of administrative duties, including, but not limited to:-Calendar management-Coordination of various monthly, weekly, and ad hoc meetings
-Maintain follow-up files/logs to track upcoming deadlines, etc.
-Scheduling and tracking of stewardship and loss management activities
-Preparation of correspondence and reports/presentations-Coordination of travel arrangements
-Coordination of administrative matters and departmental activities/events
-Record absence time and overtime in SAP timekeeping system
-Maintain office filling system(s)
-Coordinate office supplies (stationery, coffee, etc.)
-Provide back up for other departmental roles as required
-Maintain minutes and reports from weekly team meetings
-Manage documentation for installation of phones and computersExperience and Educational Requirements-High School Diploma
-Office Administration Diploma or equivalent
-Minimum 5 years prior administrative experience
-Proficiency with Microsoft Office, Outlook, PowerPoint, Word, Excel, Visio
-Well-organized, with solid priority management skills
-Proactive and flexible self starter
