Function/Purpose:
This position is responsible to perform secretarial and office support services in the Inspections & Licensing Department and perform all record keeping duties for the Department.
Job Requirements:
· Grade 12, or equivalent supplemented by a one year secretarial or Business College courses with at least two years of administrative secretarial experience in a Municipal Building/Bylaw Department environment, to provide familiarity with activities and terminology.
· Ability to acquire knowledge and understanding of various computer programs as adopted by The City and assisting in the training of users.
· High level of spelling, punctuation, grammatical and composition skills are required.
· Knowledge of a computerized records management system that enables scanning, profiling and retrieving of all documents.
· Ability to communicate concisely, verbally and in writing, with staff and the public, and to respond courteously and effectively to inquiries and requests, and remaining calm and tactful when receiving complaints from irate customers.
· Ability to acquire and retain knowledge of department polices and procedures including a good knowledge of Land Use and other bylaws to provide information and responses to the general public to avoid errors that may result in the loss of public image and thereby significant consequences.
· Ability to work with independence in order to process a considerable workload within specific time frames.
· Ability to retain concentration and work with frequent interruptions in a busy environment.
· Ability to use initiative in implementing new procedures regarding records management and plan storage.
· Ability to use some initiative in performing a variety of "one-time" tasks.
· Ability to perform semi-technical calculations (e.g. calculation of maximum allowable building coverage of sites, metric conversions, etc.)

Hours of Work: Monday to Friday, 8:00 a.m. to 4:30 p.m., based on 37.5 hours per week.
